10 ways to use AI in your small business

· 3 min read

If you run a small business, you probably do a bit of everything: selling, answering messages, posting on social media, keeping the books and putting out fires. Artificial intelligence will not replace your experience, but it can take a lot of repetitive work off your plate. Free tools like ChatGPT, Gemini or Copilot run on your phone and need no technical skills.

Here are 10 concrete uses, each with a sample prompt. Replace the parts in brackets with your own details.

1. Reply to customer messages

Questions about opening hours, prices, delivery or returns come in every day. Ask the AI to draft clear, friendly replies you can save as quick replies in WhatsApp Business.

Prompt: "Write 5 short, friendly replies to common questions for [my bakery]: opening hours, delivery, payment methods, custom orders and allergies."

2. Create social media posts

Planning content takes time. AI can suggest ideas and captions for a whole week, tailored to your audience.

Prompt: "Create a 7-post Instagram calendar for [my bike repair shop], with the caption for each post and a photo idea. Friendly tone."

3. Write product descriptions

A good description explains benefits, not just features. Give the AI the product details and ask it to write for your ideal customer.

Prompt: "Write a 60-word description for [a vanilla-scented soy candle that burns for 40 hours], aimed at people shopping for gifts."

4. Plan promotions

When you want to run an offer, ask for ideas and the message to announce it. Ask for several options and keep the one that fits your margin.

Prompt: "Give me 5 promotion ideas to boost Tuesday sales at [my coffee shop] without discounting more than 15%."

5. Handle complaints calmly

Replying to an upset customer in the heat of the moment can make things worse. AI helps you write an empathetic, professional reply.

Prompt: "Help me reply to this negative review with empathy and a concrete solution, without arguing: [paste the review]."

6. Check your pricing

AI can help you lay out your costs and work out a price with the margin you want. Always double-check the math yourself.

Prompt: "My costs per cake are [ingredients $6, packaging $1, 1 hour of work at $5]. Walk me through calculating a price with a 40% margin."

7. Organize your week

When everything feels urgent, ask for a plan. List your to-dos and let the AI sort them by priority and time.

Prompt: "Arrange these tasks into a Monday to Friday, 9 to 5 schedule, prioritizing what drives sales: [task list]."

8. Draft emails and documents

Quotes, supplier messages, payment reminders or schedule-change notices take seconds with a good prompt.

Prompt: "Write a polite, formal email reminding a customer about an overdue invoice of [$250] from [15 days ago]."

9. Understand your customers and competitors

Paste reviews or comments (without personal data) and ask for a summary of what people love and what bothers them. It is a fast way to spot improvements.

Prompt: "Summarize in a table the most repeated praise and complaints in these reviews: [paste reviews]."

10. Learn something new, fast

Need to understand minimum stock levels, how a tax works or how to set up an ad? Ask for a simple explanation with examples from your type of business.

Prompt: "Explain cash flow to me like a beginner, using an example from [a small grocery store]."

Good habits before you start

  • Always check numbers, prices and legal details: AI can make mistakes.
  • Never share customers' personal data, passwords or banking details.
  • Personalize every text with your own voice; your customers know you.
  • Save the prompts that work best so you can reuse them.

Start with one or two uses this week. The goal is not to use AI for everything, but to win back a few hours for the work that actually grows your business.
